A freelance invoice that gets paid on time

Most late payments are not bad faith. The invoice landed in the wrong inbox, had no PO number, or the accounts team could not tell what it was for. A good freelance invoice removes those excuses: it names the project, lists the deliverables in the client’s language and says exactly when and how to pay.

Start from the sample above. Replace the lines with your own work, add the client once and the editor remembers them next month.

What to put on each line

Describe deliverables, not effort. “Blog post: 5 signs your roof needs replacing (1,500 words)” is easier to approve than “Writing”. Pick a unit that matches how you priced the work:

  • per item for articles, illustrations, edited videos, landing pages
  • per hour for open-ended support; see the hourly invoice template for time-tracking tips
  • per day for workshops or on-site days
  • per project or lump sum for fixed-fee work
  • retainer for a monthly block of hours or deliverables

Here is a sample month for a content writer. The rates are editable examples, not suggested prices.

Description Qty Unit Rate Amount
Blog post, 1,500 words, incl. one revision 4 item $350.00 $1,400.00
Email newsletter, copy and subject lines 2 item $400.00 $800.00
Content strategy call 2 hour $125.00 $250.00
Total due $2,450.00

If a late fee of 1.5% per month applies, one month overdue on this invoice adds $36.75. Write the fee into your contract first; an invoice alone is a weak place to introduce it.

Net terms, late fees and reminders

Print the payment terms and the actual due date. “Net 30” leaves the client to do the math; “Due November 23, 2026” does not. If you work with agencies, ask at the start which terms their finance team uses, because many pay on a fixed cycle no matter what your invoice says.

After you download, mark the invoice as sent. My documents then shows it as outstanding, flags it when the due date passes and gives you a polite reminder text to copy. You can also add a calendar reminder for the due date. When the money arrives, mark it paid and turn it into a receipt in one step.

Some clients want an estimate before any work starts. Use the quote template; once it is accepted, the tool turns it into an invoice with the same client and lines and a new invoice number.

Numbering, tax and the boring parts

Use one numbering series and never reuse a number. The editor suggests the next one and warns about duplicates; our invoice numbering guide covers formats like 2026-014. Most freelance services in the US are not subject to sales tax, but some states tax certain digital products or services, so check yours before leaving the tax rate at zero.

Frequently asked questions

What should a freelance invoice include?
Your name or business name and contact details, the client's name and address, a unique invoice number, the issue date, a description of each deliverable, quantities and rates, the total, the due date and how to pay. A purchase order number or project code, if the client gave you one, helps it reach the right person.
Which payment terms should a freelancer use?
Net 14 and Net 30 are the most common. Smaller clients often pay faster with “due on receipt” or Net 7; larger companies may insist on their own terms. Whatever you choose, agree on it before starting and print it on every invoice. Our payment terms guide compares the options.
Can I charge a late fee on an overdue invoice?
In the US there is no general federal rule for private business-to-business late payment; it comes down to your contract and state law. If your agreement includes a late fee, state it on the invoice, for example 1.5% per month on the unpaid balance, and check that the rate is allowed in your state.
Do I need to send a W-9 to my client?
US clients often ask freelancers for a Form W-9 so they can report what they paid you at year end. It is a separate IRS form, not part of the invoice. Send it once when the client asks, and keep your invoice focused on the work and the amount due.
Is there an invoice generator for freelancers that does not store my data?
This one keeps everything in your browser on your device. Nothing is uploaded and there is no account. Your clients, saved items and invoice numbers are remembered locally, so the next invoice takes less than a minute. Make a backup in My documents from time to time.
