Pricing what you actually deliver
A photography invoice sells three different things: your time behind the camera, the finished images, and the right to use them. Clients understand the first two. The third is where commercial work makes its margin, and it only holds up if the invoice says what was licensed.
The sample above starts with a typical session. Swap the lines for your own packages and save them as items so your next invoice takes seconds.
A commercial shoot, line by line
Commercial clients expect the creative fee, post-production and usage to be split. The rates below are editable examples.
| Description | Qty | Unit | Rate | Amount |
|---|---|---|---|---|
| Creative fee, half-day product shoot, Oct 9 | 1 | session | $1,200.00 | $1,200.00 |
| Edited and retouched images | 15 | image | $45.00 | $675.00 |
| Usage license: web and social, US, 12 months, non-exclusive | 1 | license | $800.00 | $800.00 |
| Studio rental | 4 | hour | $85.00 | $340.00 |
| Total | $3,015.00 |
If the client later wants print ads or a longer term, invoice an extended license as a new line on a new invoice. It keeps the original record clean.
Weddings and portraits: retainer and balance
For events, the retainer secures the date. Many photographers split a package into a booking retainer, a mid-point payment and the balance before the event. For a $3,600 package that might be $1,080 at booking (30%), $1,260 sixty days out and $1,260 two weeks before the wedding. On the final invoice, list the package once and show each payment received as a negative line.
State what is included in plain words: hours of coverage, second shooter, number of edited images, online gallery, album. Extras like additional hours, rush editing or parent albums go on separate lines.
Prints, sales tax and expenses
Sales tax for photography depends on the state and on what you deliver. Prints and albums are tangible goods and often taxable; digital files and the session itself are treated differently from state to state. The editor lets you set a tax rate per line, so a session can sit at 0% next to a taxable print order. Check the rule with your state revenue department.
Bill travel, permits, props, assistants and location fees at cost unless your contract says otherwise. A short description with the date helps clients approve them.
From quote to receipt
Most commercial jobs start with an estimate. The photography quote template lays out the fee, images and usage before the shoot; when the client accepts, turn it into an invoice with the same lines. For portrait clients who pay on the day, a receipt is often all they need, created from the invoice once you mark it paid.
Add a signature image from the signature generator if your contract or invoice needs one. My documents tracks what is sent, overdue and paid, and exports a CSV for tax time.
Related creative work has its own page: graphic design for revisions and file handover, and freelance for general project billing. For blank files you can fill in by hand, browse the invoice template gallery. Unsure which fields are essential? See what to include on an invoice.
