What belongs on an electrician’s invoice
Electrical work is mostly invisible once the cover plates go back on. The invoice is what tells the customer, the inspector and sometimes the insurance company what was done. Itemize it so it reads like a short job report: what you found, what you installed, which permit covers it.
The sample above is a residential job. Change the lines, rates and parts to your own and save the ones you use often, like breakers and receptacles, as items.
- License number in your business details. Many states require it on contracts and bids; check your state board.
- Job address and date of work, especially for landlords and property managers.
- Service-call or trip fee, and any credit toward the repair.
- Labor by person and rate: journeyman and apprentice at different rates, after-hours work on its own line.
- Materials with quantity and unit: each, linear feet of cable, box of connectors.
- Permit and inspection fees with the permit number.
- Warranty terms in the notes, for example “Workmanship warranted for 1 year from completion.”
The general field list for any invoice is in what to include on an invoice.
Example: EV charger circuit
The rates and parts prices below are editable examples, not market averages.
| Description | Qty | Unit | Rate | Amount |
|---|---|---|---|---|
| Service call and load calculation | 1 | each | $95.00 | $95.00 |
| Labor, licensed electrician | 3.5 | hour | $110.00 | $385.00 |
| Labor, apprentice | 3.5 | hour | $55.00 | $192.50 |
| 50A two-pole breaker | 1 | each | $48.00 | $48.00 |
| 6/3 NM-B cable | 45 | linear ft | $4.20 | $189.00 |
| NEMA 14-50 receptacle | 1 | each | $32.00 | $32.00 |
| Permit and inspection, City permit #E-2026-1184 | 1 | each | $150.00 | $150.00 |
| Subtotal before tax | $1,091.50 |
Materials here add up to $269.00. If your state taxes materials only, put the tax rate on those three lines and leave labor at 0%.
Service calls, emergencies and flat rates
Many shops now use flat-rate pricing for common tasks: replace a GFCI, add a circuit, swap a fixture. That works well on an invoice too. Use the unit “each” and a description that names the task and location, and keep time-and-materials for troubleshooting.
Emergency and after-hours work earns a premium, but only if the customer agreed to it. A text like “after-hours rate $165/hour, 1-hour minimum” before you drive out saves a long phone call later.
Bigger jobs, deposits and change orders
For a panel upgrade or a remodel rough-in, send an estimate first with the contractor quote template, and turn it into an invoice once accepted. Deposits on home-improvement work are limited in some states; California, for example, caps them at 10% or $1,000, whichever is less. If the scope grows once walls are open, write a change order, price it and get it signed before doing the extra work.
As a sub on a larger project you may bill by percent complete with retainage; the construction invoice template shows how. Lien rights and preliminary notices vary by state, so check the deadlines that apply to you.
Sending and closing the job
Download the PDF on US Letter, share it from your phone in the driveway, and mark it sent. When the customer pays, mark it paid and hand over a receipt generated from the same data. My documents keeps every job with its status and a CSV export.
