What makes a consulting invoice easy to approve

Your sponsor knows what you did. Accounts payable does not. They match your invoice to a purchase order, check the rate against the contract and send expenses through a separate policy. A good consulting invoice answers those three checks on one page: PO number, fees that match the engagement letter, and expenses itemized with dates.

The sample above shows a consulting setup. Change the client, the period and the rates, and save your standard lines so next month takes a minute.

Retainer, overage and expenses: an example

A common arrangement is a monthly retainer with a set number of hours, extra hours billed at an hourly rate, and travel at cost. The numbers below are editable examples.

Description Qty Unit Rate Amount
Advisory retainer, October 2026 (20 hours included) 1 month $4,000.00 $4,000.00
Additional hours beyond retainer, Oct 1–31 6.5 hour $200.00 $1,300.00
Airfare, Chicago–Denver round trip, Oct 14 1 each $412.60 $412.60
Hotel, Denver, Oct 14–16 2 night $189.00 $378.00
Total due $6,090.60

A note under the lines such as “Hours used in October: 26.5 of 20 included” explains the overage before anyone asks. Keep receipts for the airfare and hotel; most clients want them.

Choosing how to bill

  • Retainer. Predictable income for you, predictable cost for the client. Bill it in advance and state what it includes.
  • Hourly. Best when scope is unclear. Use decimal hours and a fixed rounding rule; the hourly invoice template covers rounding.
  • Fixed fee or milestones. Common for audits, strategy projects and implementations. Bill each milestone as one line, for example “Phase 2: current-state assessment delivered”.
  • Day rate. Typical for workshops and on-site work. Use the unit “day”.

You can mix these on one invoice, as long as each line has its own unit and rate.

Proposals, terms and getting paid

Many engagements start with a proposal or estimate. Build it with the quote template and add a validity date; once the client signs, use “Accepted? Turn it into an invoice” to copy the client and lines into a new invoice with its own number. If the client wants a pro forma for budget approval before work starts, use the pro forma invoice instead.

Print the payment terms and the actual due date. Our guide to Net 30 explains what larger clients expect. Consulting services are generally not subject to sales tax in most US states, but rules differ, so check your state before leaving the tax at zero.

Working with a client abroad? The editor adjusts the required fields to the country you pick; see the UK and Canada pages for local rules. After download, mark the invoice sent; My documents tracks it and shows when it is overdue. When the payment arrives, mark it paid and create a receipt with one tap.

Freelance specialists who sell deliverables rather than advice may prefer the freelance invoice template.

Frequently asked questions

How do I invoice a consulting retainer?
Bill the retainer as one line at the start of each period, for example “Advisory retainer, November 2026 (up to 20 hours)”. If the client uses more than the included hours, bill the overage at your agreed rate on the next invoice and show the hours used in the notes.
Should expenses go on the same invoice as fees?
Usually yes, as separate lines with the date and a clear label: airfare, hotel nights, mileage. Many clients only reimburse expenses that follow their travel policy and want copies of the receipts, so check the contract and attach the receipts to your e-mail.
Can I mark up expenses?
Only if your agreement allows it. Most consulting contracts reimburse expenses at cost. If you do add a handling fee, show it as its own line rather than hiding it in the expense amount. Mileage is often billed at a per-mile rate the client sets.
What payment terms are normal for consultants?
Net 30 is common with larger companies, and many of them pay only on fixed payment runs. Retainers are often billed in advance and due before the period starts. Agree on terms in the engagement letter and print the due date on each invoice.
My client needs a PO number. Where does it go?
Put it in the notes or in the reference field so it prints near the top. Invoices without the PO number are often returned unpaid by accounts payable. Add it to the client record once and it will be there next time.
